MEDICAL CONFERENCE VIDEO PRODUCTION

Beverly Boy Productions handles medical conference video production for associations, pharma, and medtech teams: multi-camera session capture, KOL and faculty interviews, booth or studio setups near the floor, and edited packages you can reuse after the meeting. If your scientific congress or clinical leadership event needs clean audio, compliance-aware filming, and files ready for CME, sales, or education, this page explains how we staff it.

This is not a generic conference videography page. Medical and scientific buyers ask for session recordings that hold up in review, interview days that respect speaker schedules, and a clear chain of custody on who said what on camera. We quote that as one production, then confirm what your venue, union rules, and compliance team will allow before we roll.

Beverly Boy has produced more than 25,000 projects since 2002. We film medical and scientific meetings nationwide, with local or traveling crews as the job needs.

What's included in medical conference video production

  • Multi-camera coverage of keynotes, symposia, and breakout rooms when the program calls for it
  • Clean lecture audio (house feed tie-in or dedicated mics) so technical content stays intelligible
  • KOL, faculty, and exhibitor interviews on a lit set near the floor or in a quiet suite
  • Booth or product demo capture scheduled around show-floor reality
  • Same-day or next-day selects when your team needs social or internal clips during the meeting
  • Edited session packages, highlight films, and short cuts for education, recruiting, or commercial teams
  • Optional tie-in to live streaming services when hybrid attendees need a program feed
  • Optional pairing with corporate event videography for non-clinical social and awards coverage on the same trip

Typical crew and gear

A medical conference day usually includes camera operators for each room you book, an audio tech who can take a house feed or mic the podium, a producer who keeps the interview schedule honest, and an editor or DIT when same-day turns are in the quote. Cameras and glass are chosen for lecture halls and small interview rooms, not a one-size kit list.

Note for producers: credentialing, union load-in windows, power, and reserved interview space are controlled by your host or venue. We supply the people and gear they approve. Tell us what is already locked (badge rules, quiet-room reservation, recording permissions for faculty) and we build the crew around that.

How we structure medical conference video production

Top-ranking medical congress pages win on reusable content and compliance, not just pretty highlight reels. We plan the capture window so three days on site can feed months of CME clips, KOL quotes, and booth proof. Speakers who run late are expected; the schedule has buffers. For industry-supported scientific education, we follow your medical-legal review process and keep raw and edited versions labeled clearly. Guidance on industry support for continuing education is published by the Accreditation Council for Continuing Medical Education (ACCME).

How the process works

  1. Program and rider. You send the agenda, rooms to cover, interview wish list, deliverable list, and any compliance or union notes.
  2. Advance. We confirm power, cable paths, house-feed access, interview location, and badge requirements with your AV or meeting planner.
  3. Show days. Session capture and interviews run on a shared call sheet; selects are labeled by speaker and session code.
  4. Review. Rough cuts go to your medical-legal or marketing reviewer before anything is published.
  5. Handoff. Final edits, ISOs or session masters as scoped, and a media inventory with clear filenames.

What drives the quote

Cost moves with room count, camera count, interview volume, same-day turns, travel, and how many days the crew is on site. A single keynote record is a different job from a three-day congress with a KOL studio and nightly selects. Our live and multi-camera productions typically range from $4,500 to $10,000, depending on camera count, show days, and switching. Interview-style coverage on our site typically ranges from $2,500 to $4,500 per production. Multi-day congress crews and travel are quoted separately. We quote from your program; we do not invent a fixed menu that ignores venue rules.

Proof from regulated and clinical shoots

On Clutch, an operations manager at a pharmaceutical company wrote that “Their project management was very efficient and reliable” after we handled concept, scripting, executive interviews, facility footage, editing, and motion graphics for a corporate video in a highly regulated industry. For summit-style interview days around a larger meeting, see our global summit interview crew page.

Where we cover medical conferences

We staff medical and scientific meetings across the U.S., including major association and society cities. For local pickup shoots around the same trip, see our Chicago videographer, New York videographer, Los Angeles videographer, and Miami videographer pages.

Yes. We follow your medical-legal process, keep versions labeled, and do not publish until your reviewers clear the cut.

As many as you book crews for. We confirm operator count against the agenda before the quote is locked.

Session masters or edited session packages, interview hero cuts, short social clips, and a labeled media inventory. Some clients also want a congress highlight film.

For major society meetings, book as soon as rooms and badge rules are known. Tighter timelines are possible when the AV plan and interview space are already locked.
